Privacy policy

This policy explains how Aeonx Digital Solutions Private Limited (“AeonX Digital”, “we”, “us”) handles personal data in Vaani.

It covers three groups of people: visitors to this website, people who use a Vaani workspace, and people who receive or make a call that a Vaani agent handles.

1. This website

This website sets no cookies. It loads no analytics, no advertising and no script from any other company.

  • Your choice of light or dark theme is kept in your own browser and is not sent to us.
  • Like any website, our hosting keeps a log of requests (network address, time and the page asked for) for security and for finding faults.

2. When you send us an enquiry

The form on the contact page asks for your name, work email and company, and optionally your phone number, company size, industry and a message.

We also record the consent you gave: the exact sentence you agreed to, its version, the time, and a shortened form of your network address.

We use these details to reply to you and to tell you about Vaani. We do not sell them or share them for anyone else’s marketing.

You can withdraw this consent at any time by writing to support@aeonx.digital. We will then stop contacting you.

3. When you use a Vaani workspace

For each person with a sign-in we hold their name, email address, a protected form of their password, their role and a record of sign-ins. Actions in a workspace are written to its audit log.

4. Calls handled by Vaani agents

A business that uses Vaani (a “workspace”) puts personal data into it and creates more with every call: names, telephone numbers and contact details, recordings, transcripts, summaries, call outcomes, consent records and do-not-call entries.

The workspace decides why and how that data is used. We process it for the workspace, to provide the service. If you have a question about a call, the business that called you is the right one to ask; if you write to us, we will pass your request to it.

5. If a Vaani agent called you

  • The agent must say that it is an AI, and must say so when the call is recorded.
  • You can tell the agent that you do not want to be called again. Your numbers then go on that business’s do-not-call list.
  • If you gave consent on a Vaani consent page, that page gave you a link that withdraws it, in one step.
  • You can also write to us at support@aeonx.digital with the number that was called. We will pass your request to the business that made the call.

6. What we use personal data for

  • To provide Vaani to the workspaces that use it.
  • To keep the service secure, to find faults and to prevent misuse.
  • To reply to enquiries and tell people who asked about Vaani.
  • To meet our legal duties, including keeping business and tax records.

We do not sell personal data, and we do not use it for advertising.

7. Who else handles personal data

We use other companies to run Vaani. They may handle personal data only to provide their service.

  • Cloud hosting: Google Cloud, in its Mumbai region.
  • Speech-to-text, language-model and voice vendors, chosen and connected by each workspace. They handle the audio and text of a call while it runs.
  • Telephony carriers, which connect the call and may hold its recording.
  • An email delivery provider, for the emails the service sends.
  • A payment provider, for subscription payments. We do not hold card numbers.

8. Where personal data is kept

The Vaani database and its backups are kept in Google Cloud’s Mumbai region, in India.

The speech, language, voice and telephony vendors a workspace connects may process and hold call audio, recordings and text outside India. Which vendors are used is the workspace’s choice.

9. How long we keep it

  • Enquiries: for as long as we are in touch with you, and afterwards as our business records require, unless you ask us to delete them sooner.
  • Workspace data, including transcripts and recordings: for as long as the workspace keeps it, and for a reasonable time after a workspace closes, unless the law requires longer.
  • Consent records and do-not-call entries: for as long as they are needed to show that a call was allowed, or to make sure a person is not called again.

10. How we protect it

  • Each workspace’s data is separated from every other’s in the database itself.
  • Access follows roles. Transcripts and recordings each need their own permission.
  • Every opening of a transcript or a recording is written to an audit log.
  • Vendor keys are encrypted. Passwords are stored only in a protected form that cannot be read back.

No system is perfectly secure. If a breach affects your personal data we will tell you and the authorities as the law requires.

11. Your rights

You may ask us what personal data we hold about you, ask us to correct or delete it, and withdraw a consent you gave. Where a workspace holds the data, we will pass your request to it.

Write to our grievance officer (section 13). If you are not satisfied with the answer, you may complain to the authority that Indian data protection law provides for.

12. Children

Vaani is a service for businesses. It is not meant for anyone under 18, and we do not knowingly collect a child’s personal data.

14. Changes to this policy

We will post any change here with its date. If a change matters to people whose details we hold, we will tell them where we can.
